Terms and Conditions

By booking, paying for, or attending an appointment, you agree to these Terms and Conditions.

1. Definitions

“Clinic” means Dr Gwen Adey Ltd trading as Growth Factor Hair Clinic.

“Client” means the person receiving consultation or treatment.

“Treatment” includes all procedures and services provided by the Clinic.

2. General

All services are provided on a private-medical and aesthetic basis only.
Nothing on this website or in the Clinic constitutes medical advice or replaces care by your GP or dermatologist.

3. Results

No guarantee of outcome can be made. Individual results vary.
Before-and-after photographs and testimonials are illustrative only.

4. Consultation and Treatment Suitability

Your suitability for treatment will be assessed during consultation.

You must provide a full and truthful medical history and update the Clinic of any changes.

The Clinic reserves the right to decline or postpone treatment at any stage if, in the practitioner’s opinion, it is not in your best interest or is medically contraindicated.

If you are deemed unsuitable before any treatment begins, prepaid treatment fees (including deposits) will be refunded in full; consultation fees remain non-refundable.

5. Bookings, Deposits & Cancellations

We operate a strict 48-hour cancellation policy.

Deposit Requirements

Consultations: £30 deposit required to secure your booking.

Treatments: £65 deposit required to secure your booking.

Cancellation and Rescheduling

Cancellations or reschedules made 48 hours or more in advance – deposit refundable minus 10% admin fee or transferable.

Cancellations or reschedules made less than 48 hours before your appointment, or failure to attend, will result in forfeiture of your deposit.

Deposits not redeemed within 12 months of payment automatically expire and are non-refundable.

The Clinic may occasionally reschedule appointments due to clinical, technical, or staffing reasons; in such cases, any deposit will remain valid.

6. Payment Terms

All treatment fees and product purchases must be paid in full on the day of treatment, unless otherwise agreed in writing.

Any invoice or outstanding balance must be settled within 7 days of issue.

The Clinic reserves the right to charge interest on overdue invoices at 4% per annum above the Bank of England base rate, and/or recover reasonable costs associated with collection.

Treatment will not be provided while an account is in arrears.

7. Refund Policy

Once a treatment has been performed, no refunds will be made.

Refunds for prepaid treatments are issued only for genuine medical reasons, subject to written evidence and management approval.

Refunds are calculated by deducting the list price of any treatments already taken plus any non-attendance fees.

Consultation fees are non-refundable.

8. Late Arrival and Non-Attendance

Arriving more than 10 minutes late may result in shortened or cancelled treatment.
Failure to attend without notice counts as a late cancellation, and deposits or prepaid amounts will be forfeited.

9. Courses and Packages

Full payment is required before the first session.

Packages expire 12 months after purchase.

Missed or late-cancelled sessions are forfeited.

Package refunds follow the calculation in Section 7.

10. Liability

All treatments are carried out with due care and in accordance with professional standards.

Except for death or personal injury caused by negligence, the Clinic’s liability to any Client shall not exceed the total amount paid for the specific treatment giving rise to the claim.

The Clinic is not liable for indirect, consequential, or financial loss (including travel, earnings, or emotional distress).

Clients are responsible for following all pre- and post-treatment instructions provided.

11. Data Protection and Privacy

Personal data is processed in accordance with UK GDPR and our Privacy Policy
Records are held securely within compliant clinical systems (Cliniko / Ontraport) and retained for the legally required period.

12. Security and Recordings

Video and audio recording operate continuously within the Clinic for patient, staff, and property security.
By entering the premises, you consent to this recording.
Recordings are stored securely and accessed only for legitimate safety, training, or compliance purposes.

13. Complaints

If you are dissatisfied with any aspect of your experience, please email complaints@growthfactorhairclinic.co.uk
Complaints are acknowledged within 5 working days and handled according to our internal policy.

14. Force Majeure

The Clinic is not liable for failure to perform obligations due to events beyond reasonable control (including illness, technical failure, extreme weather, or government restrictions).

15. Governing Law

These terms are governed by the laws of England and Wales, and any dispute shall fall within the exclusive jurisdiction of the English and Welsh courts.
